Version 1.0. Adopted August 4, 2026. Last updated August 21, 2026.

1. Introduction

RCLex – Studio Legale Associato (RCLex or the Firm) recognizes the potential of artificial intelligence (AI) systems to support professional services, legal analysis, document management and client communications.

The Firm promotes responsible, transparent, secure and ethical use of AI in compliance with applicable law, the professional and ethical duties of lawyers, legal professional privilege and confidentiality obligations, and personal data protection requirements.

This Policy governs the principles and methods of AI use by RCLex professionals, associates, employees and consultants.

2. Objectives

The Firm uses AI to improve operational and organizational efficiency; support legal research and document analysis; facilitate the preparation of drafts and informational materials; improve the quality and timeliness of professional services; and promote innovation while respecting fundamental rights and professional standards.

AI is a supporting tool and must never replace the professional judgment of the lawyer or adviser responsible for a matter.

3. Scope

This Policy applies to all AI systems used by RCLex, including text-generating AI, document analysis systems, assisted translation tools, legal research support systems and AI-based automation and productivity tools.

4. General Principles — Human Oversight

Every AI-generated output is subject to human review and validation. No document, legal opinion, professional communication or pleading prepared with AI assistance may be used or transmitted without appropriate review by a professional of the Firm.

4.2 Accuracy and Reliability

AI-generated outputs may contain errors, inaccuracies or outdated information. RCLex professionals verify the legal accuracy of the content, the currency of legislation and case law, its relevance to the particular matter and the appropriateness of the sources relied upon.

4.3 Confidentiality and Legal Professional Secrecy

The Firm adopts measures to protect the confidentiality of information it handles. Unless appropriate contractual and technical safeguards are in place, information protected by professional secrecy must not be entered into AI systems, and documents containing sensitive data or confidential information identifying clients must not be uploaded. Anonymization or pseudonymization techniques are used where possible.

4.4 Personal Data Protection

AI is used in accordance with Regulation (EU) 2016/679 (GDPR) and other applicable laws. RCLex assesses potential personal data protection impacts before adopting new AI tools.

4.5 Non-Discrimination

The Firm does not use AI systems that may result in unlawful discrimination or treatment contrary to fundamental rights.

5. Permitted Uses

Permitted uses include preparing preliminary document drafts; summarizing and classifying documents; supporting legislative and case law research; language editing and translation; developing educational and informational content; and internal organizational and administrative activities.

6. Prohibited Uses

AI must not be used to make fully automated professional decisions; replace a lawyer’s professional judgment; process confidential information without adequate safeguards; generate deceptive or misleading content; breach personal data protection, intellectual property or professional secrecy rules; or engage in practices prohibited by applicable EU or national law.

7. Transparency Towards Clients and Users

RCLex regards transparency as essential to responsible AI use. The Firm may use AI to support certain professional and organizational activities. In all cases, professional responsibility remains entirely with RCLex professionals, AI outputs undergo human review before use, and clients may request general information about AI use in connection with the professional services they receive.

8. Notice Under Article 50 of the EU AI Act

In accordance with Article 50 of Regulation (EU) 2024/1689 (the AI Act), RCLex informs users that certain content on its website, in newsletters, informational materials or other Firm communications may be created or processed with the assistance of AI systems.

Text intended for informational or educational purposes is subject to human review and editorial oversight before publication.

9. Training and Awareness

RCLex promotes ongoing training for its professionals and staff in responsible AI use, with particular attention to technological risks and limitations, personal data protection, cybersecurity, obligations arising under the AI Act, and professional ethics.

Final Note

Artificial intelligence is a tool supporting professional work. AI may enhance those activities, but it cannot replace human judgment, professional ethics or the relationship of trust between lawyer and client.
